Job Description
    The Executive Assistant supports Executive Committee to ensure their ability to effectively and efficiently perform their organizational responsibilities. He/She manages executive schedules to utilize their time most effectively and efficiently. In addition, the Executive Assistant coordinates all aspects of travel planning, and ensures timely attendance at meetings and events so that executive needs and preferences are accommodated.

The Executive Assistant also will be responsible for planning meetings and events for Executives. This position filters correspondence to ensure executives only receive relevant and critical information requiring their attention, coordinates the timely receipt of information required from other executives and senior managers, and composes and edits executive communications. He/She builds relationships throughout the organization, exercises judgment and discretion, handles complex and difficult situations diplomatically, and represents the executive’s office in a professional manner.
    Other Duties · Reviews PA related documents to ensure accuracy. · Reviews invoices from outside counsel to ensure accuracy and contain legal costs. · Collaborates with other internal UPS functions on various legal and PA matters to collectively resolve issues effectively, thoroughly, and in a timely manner. · Acts as a liaison between other internal UPS functions to procure appropriate PA advice. · Prepares reports to track and monitor progress of PA related matters. · Participates in special projects to support the PA department, as required. Preferred Competencies · Detail Orientation: Distinguishes between “big picture” concepts and comments and specialized, smaller specific facts associated with work; notes the specifics of events and experiences; explains, in general, how details impact end goals or outcomes; ensures that work is completed accurately and with the appropriate level of detail. · Incident Investigation: Applies established procedures for responding to incidents; determines and documents information pertinent to incidents; communicates resolutions or results to stakeholders. · Solicits and Gathers Information: Demonstrates a working knowledge of techniques for soliciting and gathering information; identifies appropriate sources of information.

Mininum Qualifications • Minimum of 10 years of working experience in the administrative field • Experience working on Capitol Hill or a corporate PA department – Preferred • Bachelor’s degree or an Executive or Paralegal Certification – Preferred • Experience with Microsoft Office products including Access, Excel, PowerPoint, and Word – Preferred • Must be a U.S. Citizen or National of the U.S., an alien lawfully admitted for permanent residence, or an alien authorized to work in the U.S. for this employer.
