Position Summary

The Executive Assistant will provide high level administrative support to the Zosano executive team including the Chief Executive officer of the company-- work that will often be of a critical and/or confidential nature.  They will interact regularly with employees at all levels as well as external representatives such as board members, consultants, investors and professional contacts. They will assist with ad hoc presentations, projects, reports and cross-functional initiatives that sometimes require complex project coordination. The Executive Assistant will responsible for answering inbound phone calls, expense reporting and travel for C-level executives and board members, and other administrative duties as needed. This position will demand a high level of organization, flexibility, attention to detail, confidentiality, maturity, and a strong customer service orientation.  

Responsibilities:

- Schedule meetings and travel for multiple C-Level executives - Assist with preparation of Board Books, quarterly meetings and presentation materials - Prepare and manage expense reports - Manage multiple Outlook calendars - Coordinate conference participation and calendar - Prepare presentations in MS PowerPoint - Work with HR to organize corporate events - Assist with special projects (and may act independently to determine methods and procedures on such projects), such as updating organizational charts, and collecting and coordinating biweekly project and departmental reports - Work with appropriate parties to prepare departmental reports - Weekly replenishment of company café (Costco and Safeway) - Provide high degree of customer service and responsiveness both within and outside Zosano    

Qualifications:

- 8+ years relevant administrative experience - PC proficiency, including high level of competency in MS Word, Excel, PowerPoint, Outlook - The ability to multi-task and the flexibility to truly thrive in a start-up environment - Excellent organizational skills and attention to detail - Strong written and verbal communication skills - Customer service orientation - Demonstrated ability to treat confidential information with discretion
